Responsibilities

The individual selected for this position will support the Customers organization serve as a trusted team member for the organizations Director and Deputy Director and support all organizational core areas of responsibility. Responsibilities for the position include, but are not limited to the following:

  • Duties consistent with a Front Office Systems Integrator include providing direct support to a principle or group of principals, working independently with general review and guidance from a senior officer or the supported principal(s).
    • Proactively manage calendar/schedule items and time by applying considerable knowledge of principals role, responsibilities and personal preference in relation the supported mission, protocols, organizational hierarchies, and working knowledge of larger mission priorities. Independently collaborate with others to resolve conflicts and provide notification of calendar items.
    • Respond directly to inquires when appropriate or take action to facilitate resolution of a range of inquires and concerns related to the supported mission. Vet and refer visitors, callers, email, and other correspondence to the appropriate internal, IC, or other external contact rather than the principal when feasible.
    • Seek information from appropriate Internal/IC resources or other external resources to provide background information to the principal as required to adequately address and resolve issues and concerns not deferred to others. Track assigned actions to ensure completion and response
  • Act as the main point of contact between the D/, DD/ and other team members:
    • Serve as a communications referent across Branches that the organization currently oversees on behalf of the larger organization.
    • Take on additional projects that will include meeting minutes (with increasing knowledge of substantive areas over time), slide decks (creation & updates), Excel/Office spreadsheets, and SharePoint/BLOG responsibilities (communications, graphics, research, update, maintenance).
    • Provide information or respond accurately to routine to moderately complex questions and/or technical/administrative issues and requests in a clear, concise, credible and courteous manner, and in an appropriate way.
  • Participate in meetings with organization principals to coordinate activities to include meetings and travel; update calendar, as needed.
  • Provide oversight of activities by monitoring progress to ensure organization principals are aware of all task statuses.
  • Provide Director(s) with relevant discussion topics for future meetings:
    • Draft clear, concise, hard and soft copy routine to moderately complex correspondence on behalf of the principal, emulating his or her style and voice.
    • Format, proofread, and edit correspondence and review other documentation to ensure clarity, accuracy, grammar, and conformance with guidance and ensure response adequately addresses concern/question. Route/track through completion.
  • Plan and coordinate program management process activities and leverage experience to recommend streamline and efficient business processes, collaborating with the Program Planner/Manager.
  • Manage internal business actions, identify internal and external dependencies and apply decision analysis to ensure tasks and action progress at a rate commensurate with organizational operations tempo.
  • Assist task leads with establishing, coordinating meetings, and documenting the progress of various cross-Customer Working Groups.
  • Assist task leads with developing agendas and coordinating with respective mission SMEs to develop presentations
  • Facilitate engagement sessions with partners and/or other forums
  • Develop standard operating procedures and associated documentation
  • Prepare, research, and secure travel plans and coordinate with appropriate supporting elements (Office of Medical Services, Identity Management, Central Travel, et al), to ensure travel requirements are met.
  • Manage day-to-day office operations and seed to improve office workflow.

Qualifications

Required:

  • Organization skills with an ability to think proactively and prioritize workload
  • Demonstrated on-the-job experience coordinating and working actions to completion
  • Demonstrated on-the-job experience exhibiting oral and written communication skills to include giving/creating briefings/presentations, planning and facilitating meetings and providing support for technical documentation
  • Demonstrated ability to convey complex issues clearly and concisely to senior leadership
  • Self-starter and ability to manage multiple projects and /or activities
  • Demonstrated understanding of organizations mission
  • Ability to work in a dynamic and challenging environment
  • Ability to adapt to changing work requirements and priorities
  • Experience working in more than one organization
  • Experience working a new/start-up organization
  • Fluent in Microsoft Outlook and Office suite (Word, Excel, PowerPoint, etc.) and Microsoft Project or equivalent.
  • Demonstrated interpersonal effectiveness, political savviness, and communication skills to interact with all levels of the workforce and write and present program artifacts that are appropriately tailored to meet the information needs of the audience.
  • Bachelor's degree (or equivalent experience (3 years for bachelors degree)) in a business or IT discipline with minimum of 10 years' experience

  • Minimum of 10 years' experience, plus 3+ year of supporting the Customer
