Wells Fargo operates from 42 countries and territories outside of the U.S., including branches in Ireland, Beijing, Cayman Islands, Dubai International Financial Centre (DIFC), Hong Kong, London and Seoul.

The position is responsible for providing accurate and timely data processing of inbound invoices from our Vendor programs to ensure the timely provision of funding to customers. In addition the position is responsible for the timely and accurate posting of all inbound cash items as well as administrative support to the wider business community.

Responsibilities:

  • To own all doc, book & fund as well as cash app processes for the agreed strategic customers (BRP & CISCO . Core processes will be done by the outsourced Genpact Team based in Jaipur, India, however accountability on service & delivery will be with the Strategic Operations Administrator
  • To own sub-participations processes (weekly & monthly certificates, internal & external queries) and ensure all processes are fully documented & compliant.
  • To own any non-standard processes such as Manufacturing Quarter-end, Year-end funding
  • To process all doc, book & fund activities as well as cash app activities as and when required (Genpact cover days)
  • To accurately maintain vendor and dealer account information in the system
  • To provide support in the reconciliation and balancing of reports, cash books, bank accounts, vendor and dealer accounts
  • To keep on top of managing all workflow requests around strategic customers & sub-participation processes
  • To act as a Subject Matter Expert on all processing related tasks, and be seen as such by the outsourced team and the wider CDF business
  • Where appropriate, to proactively engage directly with the outsourced team to ensure timely and accurate completion of tasks and to ensure the overall success of the entire Operations team
  • To audit the activities undertaken by the outsourced team
  • To identify process improvements within own area of expertise and wider Operations Team and take responsibility for implementing these ideas to enhance performance and productivity
  • To ensure all processes are supported by fully up to date documentation, including process maps, procedures, and policy documents
  • To ensure all processes are at all times compliant
  • To understand and be able to perform the role & key tasks of the Core Operations Administrator, so as to provide back up for when the Core Operations Administrator is away.
  • To act as the Subject Matter Expert and support, from early concept through to go-live, the introduction of new strategic account relationships where non-standard processes are required.
  • To provide support during any Operations Audit
