Full Job Description:


The Project Coordinator is responsible for managing focused areas of the project, across many project teams, from conception to completion on moderate to high risk and complexity. Responsibilities include planning, coordinating and facilitating activities and resources to meet project requirements and completion dates. This position develops and maintains project infrastructure in relation to tools, processes and resources, conducts process analysis and creates status reports showing productivity progress and prepares senior level communications to convey results. This position provides administrative support to assigned project teams as needed. Some travel may be required.


Responsible for coordinating activities and resources in support of projects that impact multiple departments, systems or work-flows


- Assist the assigned Project Manager to develop, manage or update project plans, including information such as project objectives, technologies, systems, information specifics, schedules, funding and staffing


- Participate in meetings for the purpose of improving efficiency, troubleshooting and evolving problems, and developing or implementing new procedures and workflows


- Develop and maintain a detailed project schedule which includes administrative tasks to ensure adherence to budget, schedule, deadlines and scope


- Maintain critical project document files


Develops and maintains project infrastructure


- Design and build SharePoint collaboration sites for various areas of the project


- Build and maintain document libraries, with links to appropriate web pages


- Link documents and sites to appropriate pages


- Place and update identified action items on appropriate pages


- Manage security accesses


- Teach clients and staff how site works and troubleshoot to ensure site is "user friendly" and working properly


- Post reports, documents and other pertinent information on the appropriate site


As a member of the project team, work closely with other team members in collecting and routing information and assist in managing project timelines and escalating as appropriate.


- Prepare project status reports using a variety of methods and provide reports in a format and frequency as required by Project Manager


- Request and compile data from a number of internal and external resources and generate status reports


- Analyze data to determine if teams are meeting milestones, deliverables, deadlines, productivity, turnaround times, time usage, etc.


o analyze data to determine whether task is progressing or resolved, and to identify any issues or risks


o if reported data does not meet pre-determined deadlines/goals, check with team to verify information , discuss why targets are not met, determine new due date


- Present results of findings in a variety of formats, including charts, graphs, reports, and presentations to Project Manager or Project Leadership


- Summarize findings and identify trends, issues and/or risks


o forward results to Project Manager to adjust action plans, as needed


o post reports to appropriate collaboration and web sites


Follow up on action items


- Ensure that action items do not "fall through the cracks"; works with teams to manage timelines and goals appropriately (asks how, why and when)


- Ensure that resources and time are allocated properly and that tasks are assigned


- Ensure that identified issues and risks are progressing toward resolution or resolved


- Confer with project staff to identify and resolve problems; make recommendations for process improvement as appropriate


Meetings


- Maintain meeting calendar and coordinate meetings


o Schedule rooms, attendees, meal planning, etc.


o Prepare for meeting, i.e., agenda, presentation, handouts, etc.


o Prepare and/or edit minutes, presentations and other supporting documentation; post on collaboration site


- Attend all meetings related to project; fill in for PM, if needed


- Identify action items to be placed on collaboration sites


Working within project plan outlines, manage logistics for Go Live events


- Determine allocation of staff, facilities, equipment, lodging and board, etc. to ensure a successful Go Live event; Responsible for


o Assigning staff to appropriate and reasonable shifts and staffing for each shift (including numbers and designations, i.e., analysts, tech support, etc.)


o Securing facility and adequate workstations, phones, electrical outlets, technical equipment, lighting, fans, etc. and other supplies needed


o Ensuring adequate equipment available, has appropriate software installed and is working properly; ensure technical support is available for all shifts


o Ensuring adequate food and water available


o Ensuring housekeeping is ordered to maintain a safe and clean environment


o Securing adequate lodging; work with hotel to negotiate pricing and ensure that staff from same shifts are located together to minimize disruption


Associates Degree or Equivalent Education/Experience Required


Bachelor's Degree Preferred


PMI's CAPM or PMO certification preferred


Experience


3-4 years of progressively responsible administrative support experience required


2-3 years of experience supporting a project management function required


Experience in the healthcare industry is a plus


Knowledge


Knowledge of project management and project management methodology


Aptitude in managing projects and establishing timelines is preferred


Through understanding of current trends and strategies in healthcare and their application to information technologies is preferred


Skills


Demonstrated ability to use Microsoft Office Suite required


Intermediate Excel user with demonstrated ability to produce statistical reports, graphs and presentations


Understanding and familiarity with MS Visio


Demonstrated ability to use Project Management software tools required


Strong meeting facilitation, presentation and problem solving skills


Proven ability to meet deadlines


Independent, self-starter attitude with the ability to handle multiple priorities and adapt to change


Collaborative working style and ability to develop/sustain productive work relationships with key stakeholders across all levels of the organization as well as external consultants


Must demonstrate the ability to influence without direct control and/or authority


Must be able to evaluate workload, available resources, and to adjust schedules and priorities as required


Able to communicate complex issues in both oral and written form in terms clearly understood by technical and non-technical audiences
