The Information Technology team at OSF is comprised of 45 members, who are located in the NY, DC, London, and Budapest offices, but operate and support the global organization.  Specifically, the team provides the following services to the organization:

  • IT Operations provides the network, phones, desktops, hardware/software, and wireless services to keep the infrastructure for all the core offices running. Additionally, along with User Support, they are charged with advising on and creating the infrastructure for all new offices.  
  • User Support is the front line for all employee technology issues having to do with deployment, use and maintenance of laptop computers, desktop phones and mobile devices.  They are also specifically charged with assisting in any videoconference or teleconference support needed.  The team operates on an “in office” 18/5-hour schedule in order to accommodate extended support for the offices and for travelers.  There is also a 24-hour hotline to assist in off hours.
  • IT Administration is responsible for the distribution of IT assets to employees, as well as developing and implementing the necessary training to allow users to be fully independent on software and hardware. 
  • IT Security oversees a multitude of hardware and software deployed globally that work to identify and repel cyber-based attacks on OSF.
  • Applications Support has responsibility for implementing, integrating, enhancing and supporting the 30+ applications within the OSF network that employees utilize on a daily basis. 

Job Profile

The Senior Manager-Technology is a role of significant independence, which operates with a high degree of responsibility and accountability. The post holder ensures Open Society Foundations' global network of foundations receive the technology support they need to do their jobs. In alignment with OSF IT leadership, this person sets the strategy for network foundation technology support and oversees the staff and vendors providing it. Further, the Senior Manager is responsible for the reporting used by the foundations and provided to OSF. In summary, the Senior Manager’s primary responsibilities are:

Production Support and User Group Management. Lead post-Go Live issue management, triage user requests and manage a team of vendors and staff to drive issues to closure. Produce User Group meetings and activities. Manage customization and improvement projects as they arise, and coordinate system maintenance and upgrades.

Reporting Project Management. Lead the design, development and delivery of reporting for OSF’s foundations. Key responsibilities include stewarding the foundations’ reports catalog, ensuring reports meet the needs of all stakeholders, and leading the team responsible for report development.

These responsibilities require regular analysis of data across our user group to look for patterns and areas for improvement and to make recommendations on these to the Project Steering Committee. As a part of a dynamic delivery team, this person is also expected to back up or step in to other roles as needed.

Responsibilities include:

  • Manage Serenic (finance and grants management system) production support for OSF’s network of affiliated foundations. Develop workflows and processes, lead issue tracking and management between users and support vendors, report weekly on issue resolution and priorities
  • Serve as the first point of contact for Serenic users. Triage requests, elevate risks and identify mitigation actions, facilitate cross-project issue resolutions
  • Lead the Serenic User Group for the foundation network. Design and execute the meetings with input from users and colleagues
  • Lead the development and delivery of supplemental training
  • Coordinate regular software upgrades and maintenance activities
  • Lead the reporting workstream for Serenic users. Look for opportunities to design reports that are useful for multiple stakeholders and purposes. Lead the design, development and approval of reports by OSF Hub and foundation partners. Learn the limitations of the reporting tools and identify mitigation paths when necessary
  • Anticipate, escalate and help mitigate project risks related to owned work streams
  • Support or lead project tasks as needed. All project duties are supported by all team members and at any time priorities could temporarily shift individual responsibility

Candidate Profile

  • Bachelor’s degree in a relevant field of study or equivalent experience/education
  • 4+ years of work experience in a situation relevant to the duties of this role, sufficient to develop demonstrable competence in skills as indicated above.
  • Demonstrated success delivering production support for software implementations
  • Demonstrated success overseeing report delivery for software implementations
  • Experience overseeing issue triage and driving issues to closure
  • Proven customer service skill and desire to deliver quality products to our clients
  • Demonstrated success developing and delivering communications and leading stakeholder meetings for senior stakeholders as well as technology end users
  • Experience in project management techniques, risk mitigation approaches and budgeting
  • Flexibility and experience in handling multiple priorities and accomplishing short- and long- term deadlines with a heavy workload
  • Ability to ramp up quickly to a proficient level on new processes, tools and technologies
  • Strong understanding of cultural differences and the proven ability to build and maintain relationships with a wide range of people from diverse backgrounds within a complex organization
  • Experience overseeing relationships with regional vendors and internal clients
  • Experience collaborating across teams and departments to advance the IT goals of OSF
  • Experience supervising a team, including managing work flow, reviewing work and providing feedback
  • Excellent written and verbal communication, and listening skills with sensitivity to cultural communication differences
  • Knowledge or familiarity with the following industry sectors is a plus: Public Sector, Public Finance, Public Accounting, Budgeting, Foundation Sector, Grants Management
  • Experience with Serenic Navigator or Microsoft Dynamics NAV a plus
