Duties & Responsibilities

The Salesforce Systems Administrator is responsible for the administration of salesforce.com as well as other internal business systems. Works closely with HKS IT, the central IT department for HKS, and with the Director, Business Systems within Exec Ed. Serves as a key resource for staff for various technology-related activities and needs. Must be able to analyze and solve problems and escalate issues appropriately

This role will be responsible for administering the Salesforce.com system for Executive Education at HKS. Our Salesforce instance is the system of record for all our core operations including; marketing, program applications, invoice processing and our customers. This role will be responsible for system configuration, (maintenance, system enhancements/upgrades, as applicable in a SaaS model), creation of reports and dashboards, end-user training and data integrations, ensuring data hygiene and integrity. The Administrator will work with other members of the team in maintaining systems and act as one of the primary contacts for end users. They will also assist with the development of test criteria and verifying test output for reporting, upgrades and enhancements

Other systems
Provide high level maintenance and training on other existing systems and tools. The current portfolio of systems includes; evaluations (Qualtrics), LMS (Canvas, includes setting up program pages, generation of photo rosters) and the HKS Exec Ed website (Drupal)

Position responsibilities:
The role is involved in all IT projects, coordinating specific project requirements and assisting in testing and debugging all system improvements and upgrades. The position will serve as the lead on smaller projects and will include coordination with team members across other HKS Executive Education departments. Major system responsibilities include:

CRM System

  • Manage salesforce.com and Pardot applications
  • Provide day-to-day end-user support (including system configuration, complex formulas and system maintenance) and educate users with to enhance and increase their knowledge of Salesforce.com
  • Maintain user roles and profiles, security settings, access settings, etc. (User Profiles, Role Hierarchy, Sharing Rules and Security)
  • Create and manage custom objects, fields, formulas, validation rules, custom workflow and approval processes
  • Support and maintain integration to third party solutions
  • Establish and implement best practices with regards to system maintenance, configuration, development, testing, data integrity, etc
  • Research changes in upcoming versions of salesforce.com and other integrated applications; provide recommendations when necessary to enhance efficiency and productivity
  • Demonstrated ability to effectively communicate technical issues and resolve problems at all levels of the organization both internally and externally
  • Experience documenting and analyzing processes, procedures, and/or policies. Ability to handle full workload and meet proposed deadlines
  • Will train new staff in the use of the Salesforce and Pardot


Other Responsibilities
Adhere to HKS IT guidelines related to supported languages, security procedures, data integrity, server protocol, and privacy policies

Basic Qualifications
  • Bachelors degree
  • 3 years of experience functioning as a salesforce.com/Pardot administrator for Enterprise edition

Additional Qualifications
  • Technology-related bachelors degree preferred
  • Salesforce.com certification strongly preferred
  • Proficiency with salesforce.com/Pardot development including creation of standard and custom objects and fields etc. is a plus
  • Familiarity with Harvard University and Executive Education in the public sector a plus
  • Demonstrated ability to work in a collaborative environment to achieve agreed-upon objectives
  • Proven ability to handle sensitive data with discretion, and manage multiple tasks simultaneously. Ability to work in a dynamic and changing environment
  • Excellent written and verbal communication skills and the ability to communicate with all levels within the organization in a collaborative way
  • Requires strong experience with CRM tools and relational databases
  • Experience in moving code from lower sandboxes to production environment and address issues related to functionality, integration, etc
  • Ability to create workflow, define and implement business processes and provide detailed reporting
  • Experience with AppExchange and other third party solutions
  • Experience documenting and analyzing processes, procedures and/or policies
  • Knowledge of MS SQL, Apex, Python, Java, HTML, CSS
