We have a 1 year contract opportunity for a Project Coordinator in Sacramento, CA.


Job Description:


Responsible for coordinating activities and resources in support of programs/projects that impact multiple departments, systems, or work-flows with low to moderate risk and complexity in multiple small to medium size program/project (s). Works with assigned program/project lead (i.e functional Manager/Director or others) to develop, maintain, and project manage aspects of a given project including program/project communication and coordination between departments/divisions/affiliates. Under the direction of the assigned program/project lead develops and maintains project infrastructure in relation to tools, processes and resources. As a member of the program/project management team, works closely with other team members in collecting and routing information and assists in managing project timelines and escalating issues as appropriate. Provides administrative support to assigned project teams and/or individuals as needed/assigned.


Assists the assigned project lead or functional leader, to develop, maintain, and project manage aspects of a given project. The scope of participation will include as required:


- Assists in the preparation of project plans, risk assessments, review of materials, and other project documentation as required.


- Develops thorough action plans and ensures project members are clear on roles/assignments Tracks and documents issues, risks, and/or project scope change management processes, runs reports and may perform trending.

- Assists in project documentation management (including version control, ensuring proper templates are used, and team members accurately check documents out/ in, etc) and status reporting.


Works closely with other team members in collecting and routing information and assists in managing project timelines and escalating as appropriate:


- May assign resources and maintains schedules


- May perform demand capacity analysis


- Works with the implementation team and vendors to get answers to project questions, as assigned


- Communicates information effectively to other team members


- Assists in the development of the program/project training program and related materials as assigned


- Remains up-to-date on changes, project status reports and documentation.


- Accepts other assignments for specialty projects as requested and deemed appropriate by the assigned Program/Project Manager.


- Escalates issues to others under guidance of Project Lead, or functional leader.


- Disseminates information related to project timeline and deliverables


Develops and maintains project infrastructure


- Administration for web presence (collaboration sites, portals, etc.); grants all team members appropriate levels of access.


- Maintains document library and files documents in the appropriate spot.


- Ensures all team members are given appropriate levels of access to shared drives and collaboration sites


- Posts project deliverables and templates


Provides administrative support to assigned project teams


- Prepares and distributes communications to project team members.


- Prepares communications on behalf of project leadership


- Schedules meetings, including arranging for required rooms, materials and supplies


- Prepares agendas, and takes and distributes minutes


- Captures follow-up items and follows-up on assignments


May lead a sub-project or small project with minimal risk and resource requirements


- May lead team meeting when Project Lead is not available


- May lead a sub-group of the team


EXPERIENCE/SKILLS:


- Relevant work experience as typically acquired in 0 to 2 years required.


- General knowledge of general Project Management Book of Knowledge (PMBOK), project management methodologies highly desired


- Basic understanding of current trends and strategies in healthcare and their application to information technologies is desired.


- Experience with MS Project preferred.


- Intermediate MS Word, Sharepoint and MS Excel required.


- Experience in the healthcare industry is desired.


- Organize and communicate thoughts and ideas effectively.


- Ability to manage multiple small to routine projects.


- Basic analytical and problem solving skills required.


- Proven ability to meet deadlines.


- Independent, self-starter attitude with the ability to complete projects in a timely manner with little supervision or direction.


- Strong organizational skills with ability to handle multiple priorities and adapt to change.


- Collaborative working style and ability to develop/sustain productive work relationships with key stakeholders across all areas and levels of the organization as well as external consultants.


- Demonstrated ability to continuously learn and improve.
