Job Description


POSITION SUMMARY


The IT Asset Manager is to support and oversee the daily and long-term strategic management of physical and logical IT assets Firm-wide. This includes planning, monitoring, and recording software licenses and/or hardware assets to ensure compliance with vendor contracts.


MAJOR DUTIES



  • Maximum major duties, main functions of the job, in order of importance.
  • Assist in forming procurement, inventory, deployment, and retirement strategies, which optimize technology management throughout the life cycle of the asset(s) and across the Firm.
  • Develop and implement procedures and workflows that integrate with other processes and procedures for tracking IT physical and logical assets, including configuration items.
  • work closely with all IT areas and key business stakeholders in accounting, human resources and corporate services
  • Serve as the accountable process owner for IT Asset and Configuration Management
  • Conduct and report software asset reconciliation and audit activities on a timely basis, including financial, licensing, warranty, and maintenance/support contract information.
  • Compare warranties, maintenance agreements, and vendor contracts to assist with asset upkeep, upgrades, repair, and replacement.
  • Formulate and implement processes and procedures for tracking and analyzing technical and financial data of company software, hardware, and equipment from requisition through retirement.
  • Track and maintain copies of software licenses, warranties, maintenance agreements, and vendor contracts.
  • Enter all software, hardware, and configurations into configuration management system (CMS) and ensure information is up-to-date, accurate, and auditable.
  • Perform inventories and usage monitoring of all IT assets as needed
  • Research industry best practices and compare against the organization's practices in order to establish benchmarks for managing IT assets.
  • Effectively communicate asset management strategies to team members and stakeholders in a timely and clear fashion.
  • Generate, distribute, and review relevant management reports.
  • Investigate and resolve exceptions and accuracy issues of the CMS repository.
  • Lead efforts with IT managers to set configuration standards, and assist with maintenance of product lifecycle roadmaps from vendors
  • Other duties as assigned.
  • Travel up to 25%.

KNOWLEDGE & SKILLS



  • Direct and indirect supervision, mentoring, and coaching of people
  • Strong expertise in oral and written communications
  • Strong expertise with various IT service management frameworks and methodologies
  • Good high level understanding of web based and distributed systems n-tier technologies
  • Expertise in working with IT service management software for IT asset and configuration management, and related processes and workflows
  • Strong expertise in customer service delivery
  • Strong expertise in inventory control and management
  • Solid understanding of accounting principles, terms and techniques including operating expense and capital expense management activities
  • Ability to multi-task and effectively prioritize work streams


Required Experience


QUALIFICATIONS


EDUCATION


Minimum Required: High School Diploma


Desired: Associate's or Bachelor's degree in a Business or IT discipline


EXPERIENCE


Minimum Required: 3 - 5 years working in an internal IT organization, focused on the administrative, support, and technical aspects of asset inventory and management, as well as managing projects and people


Desired: Minimum requirements plus experience and progression in various Business and IT areas


LICENSES & CREDENTIALS


Minimum Required: None


Desired: COBIT 5, ITIL Foundation, Intermediate ITIL, various technical certifications, certifications issued by the International Association of Information Technology Asset Managers (IAITAM)
