An excellent opportunity has arisen for an HR Specialist to join the Asia Regional HR Consulting Team in Shanghai. The successful candidate will be responsible for providing administrative support to the HR consulting teams responsible various business groups in China and the region. The HR Specialist will be an integral member of a team responsible for supporting a broad client base in several countries and delivering value added service.
Under general supervision, the HR Specialist will utilize independent judgment within the scope of responsibility to focus on the following:
  • Handling intra-company transfers and associated documentation, including immigration applications
  • Handle new hire and termination administration; ensure employee files and data are in compliance
  • Provide administrative support as defined, to include drafting correspondence for review, provide benefits liaison
  • Conduct special HR studies/research in the areas of HR statistics, pay practices, turnover, etc., as requested, using internal HR systems.
  • Support the HRC team on the annual compensation process (survey matching and reviewing/analyzing market data with the line, as appropriate.
  • Work with other HR colleagues and Specialists whose services have an impact on the employment relationship, eg benefits, expatriate assignments, international tax, relocation, liaising with international colleagues.
  • Answers telephones, routes calls, takes messages and provides routine information to clients
  • Type letters, correspondence, reports and memoranda from written copy or from knowledge of company policy or procedures. Proofs materials for errors and ensures layout is in line with the banks style
  • Formats special reports and presentations including tabular displays, graphics and overhead transparencies
  • Schedules and co-ordinates meetings and facilities
  • Schedules travel and lodging arrangements and files expense reports for designated individuals
  • Organizes meetings when required including distributing materials, arranging for refreshments, and transcribing minutes
  • Coordinate activities such as mailing/messenger services when necessary
  • Issues appropriate purchase requisitions and maintain office equipment, stationery and accessories for the team
  • Maintains various records in the team and establishes an efficient filing system so that information can be quickly retrieved
  • Processes and maintains confidential information of the department
  • Performs other administrative duties and ad hoc projects as assigned
