Wells Fargos Chief Administrative Office (CAO) consists of enterprise functions that work together to promote and protect the Wells Fargo culture and brand, and support our team members. Groups within CAO work to protect our reputation, tell our story, bolster team member engagement, connect with our customers, and bring new and innovative solutions to life. CAO functions include Commitment to Customer, Corporate Responsibility & Community Relations, Data Management & Insights, Human Resources, Marketing, and Stakeholder Relations.

The Data Management Solutions Services (DMS) team within Data Management & Insights (DMI) creates an end-to-end view of the in-scope Governance & Oversight (G&O) Risk and Regulatory reports; this includes identifying people, processes, and data used to create and product the reports, as well as associated risks and control activities.

Data Management and Insights (DMI) is transforming the way that Wells Fargo uses and manages data. Our work enables Wells Fargo to empower and inform our team members, deliver exceptional experiences for our customers, and meet the elevated expectations of our regulators. The team is responsible for designing the future data environment, defining data governance and oversight, and partnering with technology to operate the data infrastructure for the company. This team also provides next generation analytic insights to drive business strategies and help meet our commitment to satisfy our customers financial needs.

This position will perform confidential daily office administration. This role interacts on a daily basis with senior level Wells Fargo leaders, and other assistants. The successful candidate will bring a professional and collaborative demeanor to a role where working with highly confidential information is managed. The ideal candidate will be a resourceful thinker able to multi-task, anticipate obstacles, creatively unravel them, and take proactive steps to manage circumstances with minimal supervision.

Key Responsibilities Include:

  • Provide high level administrative support to the Business Manager and the Data Management Solutions Services (DMS) team.
  • On-board new hires physical orientation/on-boarding requirements, access and equipment.
  • Off-board team members retrieve equipment, delete building and system access.
  • Proxy for Staff Management, IQN/MRS Tool and other systems.
  • Scheduling candidate interviews, tracking panel participants, collecting, scanning, and reviewing interview guides.
  • Presentation and other communication drafts creating and proofing (checking for content and brand errors).
  • Coordinate space for special events and other office functions
  • Using and coordinating video conferences across multiple locations
  • Ordering office supplies

Required Qualifications

  • 2+ years of administrative support experience

Other Desired Qualifications
  • Experience with internal Wells Fargo Staff Management, Recruiting Solutions, eProcurement, etc.
  • Experience working with Concur and HRG Travel or similar travel and expense systems preferred
  • Microsoft SharePoint experience
  • Strong familiarity and experience in onboarding/off-boarding team members (Day One Provisioning, I-9, CISIVE, etc.)
  • Ability to execute in a fast paced, high demand, environment while balancing multiple priorities
  • Advanced Microsoft Office (Word, Excel, Outlook and SharePoint) skills
  • Excellent verbal, written, and interpersonal communication skills
  • Strong organizational, multi-tasking, and prioritizing skills
  • Possess a high level of tact and integrity due to senior level internal and external contacts and regular exposure to confidential data
  • Ability to work effectively, as well as independently, in a team environment
  • Highly motivated with the ability to be self-directed and work with minimal supervision
  • A team player with the ability to learn and assimilate information from multiple people and sources
  • Ability to navigate multiple computer systems, applications, and utilize search tools to find information
